For property & facility managers

Compliance & Insurance, In One Place

Everything you need to engage TopLawn as a contractor — insurance, licences, safety documentation and checks — without an email chain or a wait. Built for tender submissions, AGM papers and contractor onboarding.

Why this page exists

Built for the person doing the paperwork

If you manage property, sit on a body corporate committee or run a facility, engaging a grounds contractor means collecting documents before anyone starts work. Most operators handle that by email, one attachment at a time, on their own timetable. We'd rather you had the full picture in front of you from the start.

Everything below is current and held ready. Certificates of currency naming your organisation as an interested party are usually turned around the same business day — email james@toplawnau.com.au with your entity name and the site address.

Policy on record: Allianz Australia Insurance Limited · Policy 171SV10214COM · $20,000,000 public and products liability, any one occurrence · current to 10 October 2026. Certificate of currency naming your organisation issued same-day on request.

What we hold

The documentation, in full

$20M public liabilityDouble the cover most local operators advertise. Certificates of currency issued naming your organisation as an interested party.
Documented SWMSA safe work method statement signed by every worker and reviewed annually — plant operation, chemical handling, working at heights, traffic management and site-specific hazards.
ACDC licence & ChemCertTwo separate licences under the Agricultural Chemicals Distribution Control Act 1966: a commercial operator licence (ACDC) covering the person spraying, and a ground distribution contractor licence (GDCL) covering the business that directs the spraying. A self-employed operator using their own equipment needs both, and many operating around Toowoomba hold neither. Ours are publicly verifiable on Queensland's chemical application licence register, and ChemCert accreditation sits behind them.
Police checks & Blue CardsEvery team member is police-checked, on every job. Any worker attending a childcare, school or care setting while children are on site also holds a current Blue Card.
White Card & Working at HeightsConstruction induction and heights certification held for the sites that require them.
Inductions & full PPESite inductions, contractor management systems and full PPE — hi-vis, boots, eye and hearing protection — are standard practice, not a special request.
Chemical application registerEvery chemical application is logged — date, product, rate, the operator who applied it and the property it was applied to. Record keeping is compulsory under the Chemical Usage (Agricultural and Veterinary) Control Regulation 2017: records must be made within two days of use and kept for at least two years, and a distribution contractor must record the licensed operator, the client and the chemicals used. Almost nobody in domestic lawn care actually does it. Ours can be produced for your site on request.
WorkCoverA current WorkCover policy is held for every worker attending site. Where your contractor management system or tender requires evidence of workers' compensation cover alongside public liability, it can be provided with the certificate of currency.

Risk management

How we manage risk

Every type of work we do — residential, commercial and industrial, childcare — carries a category risk assessment paired to its SWMS: the standing hazards of that work, who is at risk, the controls, and the residual rating once those controls are applied. Controls follow the hierarchy — eliminate, substitute, isolate, engineer, administrate, then PPE — and PPE is never the sole control.

The paperwork never replaces eyes on the ground: a pre-start walk happens at every job, every time, and anything that cannot be held at low or medium risk stops the job until it is resolved. Where your contractor-management system needs documents naming your site, a site-specific risk assessment and SWMS addendum are completed and attached to the job record.

How engagement works

From paperwork to a standing schedule

First, the documents. Request the certificates and documentation your records or tender needs — same-day where we can manage it.

Then the site. A walk-through to scope the work, flag hazards and agree exactly what done looks like — from fire access kept clear to bin surrounds and boundary hedging.

Then it runs. A recurring schedule in our job-management software with itemised invoicing per site, consolidated or split to suit your reporting. See commercial grounds maintenance for the full service.

Common questions

Compliance FAQ

How fast can you provide a certificate of currency?

Usually the same business day. Email your entity name and the site address and we'll have our insurer issue it naming your organisation as an interested party.

Is your SWMS site-specific?

No — deliberately. We run one standing SWMS for each type of work: residential, commercial and industrial, and childcare. Every worker signs it and works to one set of controls they know cold, rather than paperwork reinvented for every site. Each SWMS is paired with a category risk assessment for that type of work, site hazards are captured at the walk-through, and where your contractor-management system needs documents naming your site, we complete a site-specific addendum and risk assessment and attach them. Same rigour, no reinvented paperwork.

Will your team complete our site induction?

Yes. Inductions and contractor management requirements are normal territory — we work on logistics, industrial, education and care sites that require them.

Who on the team holds Blue Cards?

Every worker attending a childcare, school or care setting while children are on site holds a current Blue Card alongside their police check. For service scheduled outside operating hours — weekends and closed days — Blue Cards aren't legally required, which lets us mow when the grounds are empty. Police checks apply to everyone, always.

Can invoicing be split per site?

Yes — itemised per site showing what was done and when, consolidated into one invoice or split per property, whichever suits your reporting or your committee's AGM papers.

Need the documents for a tender or AGM?

Email your entity name and site address — certificates usually come back the same business day.
